Inputting ID documents
From your 'Customer Portal' you will need to find the applicants form, you can use the search bar to do this.
Once you locate the correct form, click on the word 'Edit' under the 'ID Validation' header for that applicant.
This will launch a new window titled 'Admin Screen'.
First check that you are happy that the applicants details are correct at the top of the form and then scroll down to the section that says 'Route 1 Validation'.
At the top of the page there is a link to the 'DBS ID Checking Guidelines', you should use this every time you enter ID documents to ensure that you are accepting the correct number of relevant items.
If you have enough relevant items to ID check the applicant under 'Route 1' then you should leave the box marked 'please tick here to select Route 1 validation' ticked.
There are then five drop down boxes that you can expand and enter any of those ID documents that you have seen.
You should then check the two boxes to confirm that you have checked the applicants address and have received enough relevant ID documents to verify the applicant under Route 1 and type your name as the 'ID Checker'.
If you do not have enough relevant ID documents to go down 'Route 1' then you should move down to the 'Route 2' section, expand the box using the drop down arrow next tot he title and tick the box titled 'please tick here to select Route 2 validation'.
You must then click on the box to request an external ID check to be completed via our external ID checking company.
You will then get an email confirming the completion of this external ID check and confirmation of whether the applicants ID has been verified or not using this service.
If the applicants ID was verified suing this service then you will need to check the box that says 'Route 2 validation passed?' and enter the name of the ID checker in the box.
If the applicants ID could not be verified using Route 2 then you will need to move on to Route 3.
Ensure that you have enough relevant ID documents to verify the applicants ID using Route 2 (use the link at the top of the page to check these)
You should expand the 'Route 3' section using the drop down arrow next to the title.
Now tick the box titled 'please tick here to select Route 3 validation'.
You must now ensure that you have seen enough relevant ID documents for 'Route 3' (use the link at the top of the page to verify this).
If you have received enough relevant ID documents then you should tick the box and enter your name as the ID checker.
If you have not received enough relevant ID documents then you cannot proceed with the DBS form until you have.
Once you have completed the relevant ID document stage, you must now check that you have selected the appropriate options for the DBS check type. Please remember that you should only select 'Are you entitled to know whether the applicant is registered on the DBS Children Barred List?', 'Are you entitled to know whether the applicant is registered on the DBS Adult Barred List?' and 'Does the position involve working with children or vulnerable adults at the applicant`s home address?' if these are absolutely necessary for the role. If the DBS do not agree with your selections here they will withdraw the form and you will not receive a refund for this.
Please then check that you have selected the appropriate level of DBS check (Standard or Enhanced) and that if the applicant meets the DBS Volunteer criteria then you have ticked this box as well.
Once you are happy that this is all completed correctly you can click the button at the bottom marked 'Submit'.
Once you click 'Submit' you can no longer change/edit the form, so it is important that you only do this once you are positive everything is correct.
